Terms of Service

1. Acceptance of Terms

By creating an account or using AppraisalReady (“the Service”), you agree to be bound by these Terms of Service. If you do not agree, do not use the Service.

2. Description of Service

AppraisalReady is a digital platform that enables healthcare professionals to collect multi-source feedback (MSF) from colleagues and patients for the purpose of GMC revalidation and appraisal portfolio preparation. The Service includes sending questionnaires, tracking responses, collating results, and providing exportable reports.

3. Eligibility

You must be at least 18 years old to use the Service. By registering, you confirm that:

  • You are a healthcare professional (doctor, nurse, or allied health professional) or an authorised administrator acting on their behalf.
  • The information you provide is accurate and complete.
  • You have obtained appropriate consent from colleagues and patients before inviting them to provide feedback.

4. Account Responsibility

  • You are responsible for maintaining the confidentiality of your login credentials.
  • You are responsible for all activity under your account.
  • You must notify us immediately of any unauthorised use at hello@appraisalready.co.uk.
  • You may not use the Service for any unlawful purpose or in violation of applicable UK laws or GMC guidance.

5. Data Protection & Privacy

Your use of the Service is governed by our Privacy Policy. You are the data controller for the feedback data you collect; AppraisalReady acts as a data processor. We process your data in accordance with UK GDPR and the Data Protection Act 2018.

6. Payment & Subscriptions

  • Subscriptions are billed monthly or annually as selected at checkout.
  • Payment is processed securely by Stripe. We do not store full payment card details.
  • You may cancel your subscription at any time. Access continues until the end of the current billing period.
  • Refunds are provided at our discretion in accordance with UK consumer law. Contact us within 14 days of payment for cancellation and refund requests.
  • Prices are in GBP and exclude applicable VAT.

7. Acceptable Use

  • You agree not to misuse the Service, including attempting to access data not belonging to you, introducing malware, or disrupting the platform.
  • You agree not to use the Service to collect feedback for purposes other than genuine professional development and revalidation.
  • You agree not to invite individuals to provide feedback without their knowledge or consent.

8. Intellectual Property

The Service, including its code, design, logos, and branding, is the property of AppraisalReady. Feedback data and questionnaire responses remain the property of the user who initiated the MSF (or their organisation, as applicable).

9. Limitation of Liability

AppraisalReady provides the Service “as is” without warranty of any kind. We are not liable for:

  • Decisions made based on feedback collected through the Service.
  • Outcomes of GMC revalidation or appraisal processes.
  • Data loss due to circumstances beyond our reasonable control.
  • Indirect or consequential losses.

Our total liability is limited to the amount you have paid for the Service in the 12 months preceding the claim.

10. Service Availability

We aim for 99.9% uptime but do not guarantee uninterrupted access. Planned maintenance will be notified in advance where possible. We are not liable for downtime caused by third-party services (Supabase, Vercel, Stripe, Resend).

11. Termination

Either party may terminate this agreement at any time. We may suspend or terminate your account if you breach these terms. Upon termination, you may export your data within 30 days; after which it will be securely deleted.

12. Google OAuth API Data Disclosure

AppraisalReady supports Google OAuth for account registration and user authentication.

  • Data We Access: Our application requests only the minimal, non-sensitive scopes: the user’s primary profile email address (https://www.googleapis.com/auth/userinfo.email) and basic public profile information (https://www.googleapis.com/auth/userinfo.profile).
  • Purpose of Data Collection: We use your Google profile name and email address strictly to create your unique AppraisalReady user account, pre-fill your professional doctor profile on the sub-dashboard, and send administrative system notifications (such as MSF updates and billing receipts).
  • Restrictions & Sharing: We do not request, access, or store any sensitive Google account details, Google Drive files, calendar invitations, or contact lists. We do not sell, rent, or share any personal data retrieved or derived from your Google Account with any third parties or programmatic advertisers whatsoever.

13. Governing Law

These terms are governed by the laws of England and Wales. Any disputes shall be resolved in the courts of England and Wales.

14. Changes to Terms

We may update these terms from time to time. Material changes will be notified by email. Continued use after changes take effect constitutes acceptance of the updated terms.
